Privacy Policy
How we collect, use, and protect your personal data.
1. Who we are
This website (arcaniialabs.com) is operated by Arcaniia Labs Ltd, a company registered in England & Wales under company number 17261479, with its registered office in London, United Kingdom ("Arcaniia Labs", "we", "us", "our").
We are the data controller for personal data collected through this website. If you have any questions about this policy or how we handle your data, contact us at hello@arcaniialabs.com.
2. What data we collect
We collect the minimum personal data needed to run this website and respond to enquiries:
| Data | When collected | Purpose |
|---|---|---|
| Name, email address, and message content | When you submit our contact form or email us directly | To respond to your enquiry |
| Technical data (IP address, browser type, device type, pages visited, referral source) | Automatically, when you browse the site | To operate, secure, and improve the site |
We do not use this website to collect financial information, special category data (e.g. health, biometric data), or data relating to children. If you contact us about a specific Arcaniia Labs product, that product's own privacy policy (where published separately) governs data collected within the product itself.
3. Legal basis for processing
- Contact form / enquiry data — processed on the basis of our legitimate interest in responding to enquiries, and where relevant, to take steps prior to entering into a contract with you (UK GDPR Art. 6(1)(b) and 6(1)(f)).
- Technical / analytics data — processed on the basis of legitimate interest in understanding site usage and keeping the site secure (UK GDPR Art. 6(1)(f)), or consent where required for non-essential cookies (see Section 6).
4. How we use your data
We use the personal data described above only to: respond to enquiries you send us; maintain the security and performance of the website; and understand, in aggregate, how the site is used so we can improve it. We do not sell personal data, and we do not use it for automated decision-making or profiling.
5. Who we share data with
We share personal data only with service providers who process it on our behalf (data processors) under appropriate contractual safeguards, including:
- Our website hosting provider, for storing and serving website data.
- Our email provider, where you contact us directly by email.
We do not share personal data with third parties for their own marketing purposes. We will only disclose personal data beyond this where required by law or to protect our legal rights.
6. Cookies
This website may use strictly necessary cookies required for core site functionality, and — where enabled — analytics cookies to help us understand aggregate site usage. Where analytics cookies are non-essential, we will only set them with your consent, and you can withdraw that consent at any time through your browser settings.
7. International transfers
Where any of our service providers process data outside the UK or European Economic Area, we ensure appropriate safeguards are in place, such as the UK's International Data Transfer Agreement or an adequacy decision, before any such transfer takes place.
8. Data retention
We retain enquiry data (contact form submissions and related correspondence) only for as long as necessary to deal with your enquiry and any follow-up, and in line with our legal and accounting obligations, after which it is securely deleted. Technical/analytics data is retained only for the period needed for the purposes described in Section 4.
9. Your rights
Under UK GDPR, you have the right to:
- Request access to the personal data we hold about you;
- Request correction of inaccurate data;
- Request erasure of your data, where applicable;
- Request restriction of, or object to, our processing of your data;
- Request a portable copy of your data; and
- Withdraw consent at any time, where processing is based on consent.
To exercise any of these rights, contact us at hello@arcaniialabs.com. You also have the right to lodge a complaint with the UK's supervisory authority, the Information Commissioner's Office (ICO), if you believe we have not handled your data appropriately.
10. Changes to this policy
We may update this policy from time to time to reflect changes in our practices or for legal reasons. The "Last updated" date at the top of this page indicates when it was last revised. We encourage you to review this page periodically.
